Proposed Minutes- Regular Meeting August 19, 2014

Call to Order
*Meeting Called to order by President Marty Heiss about 7:00 p.m. at Swanson Pickle Company.
Roll Call
*Attending were trustees Marty Heiss, Mike Pierson, Ken Patterson Sr., Dee Swanson, Ken Punter, Laura Cameron and Jason Helsen, Karen Barker and Denny Emery.
Approval of the Agenda
*The agenda was approved unanimously on motion by Jason with support from Ken Patterson.
Approval of Minutes
*Minutes of the 15 April 2014 meeting were approved unanimously on motion by Jason with support from Dee.
Correspondence-
*Choice One Bank-Cash Back Checking will change our service charge.
Reports
Financial
*Jason reported a current balance as of 8/18/14 of $130,196.01
*Checkbook balance is $1,925.48; with a $20 outstanding checks for a reconciled balance of $1,905.48.
*Bills paid since the last meeting: $3,000 from checking went into the foundation.
Old Business
*Dog Daze-need to emphasize that the popsicles are from the foundation was discussed. Next year we will distribute 1,000 instead of 1,300.
*The 2013 Taste of Ravenna event netted $4,400.
*2014 Taste of Ravenna is set for Thursday November 6, 6:30—9 p.m.
*Ken Patterson and Denny will contact Shawn at Moss Ridge about beer and wine to be available.
*Dee will arrange for food. It was agreed to go from 160 sandwiches to 250 and from 1 salmon to 2.
*Getaway package will be to Grand Rapids; J.W. Mariott a possibility.
*Karen will get MSU basketball tickets and a set of chairs to raffle.
*Tickets will again be $25 or two for $45. Ken Patterson will procure the tickets.
New Business
*An annual spending limit was discussed as was the possibility of limiting the amount any one organization would be granted. The issue will be discussed at the next meeting.
*Karen will work on updating the foundation’s history.
*Back to school breakfast is August 28, 7:45 a.m. at Ravenna Middle School. Karen and/or Marty will represent RCEF.
*Distinguished Alumni award nominees to be presented at the next meeting: John Swanson by Karen Barker and Dr. John Paul Warber by Jason.
Next Meeting-was set for Tuesday September 16, 7 p.m. at Swanson Pickle Company.

Dear Fundholder:

Enclosed is your Fund Statement for the first quarter 2014, ending March 31, 2014. The investment return on your fund for the quarter (and year -to-date) was 1.59%. You may read details regarding our investments and investment policy on our website: www.cffmc.org

With this statement, we are pleased to announce the selection of Vanguard Investment Advisory Services (“VIAS”) as investment consultants to the Foundation’s combined investment portfolio. We have long held Vanguard Funds as a substantial portion of our portfolio. After careful study, we have determined it makes sense to expand our relationship with Vanguard to take advantage of their expertise and advice, which they offer at substantially lower fees than other groups we considered.

VIAS is the second largest investment manager to endowments and foundations, with only State Street listed by “Pension and Investments Magazine” as being larger. VIAS currently represents 102 nonprofit clients with over $8.6B under management. The VIAS consultants assigned to our account are Wendy Simenson, Senior Investment Consultant, and Janel Jackson, Senior Investment Analyst, and they will attend their first CFFMC Investment Committee meeting in early May.

VIAS will utilize these key principles to manage our portfolio:
1. Asset allocation is the most determinant portfolio decision
2. Broad diversification is crucial
3. Indexing is an enduring strategy that has produced strong long-term results
4. Under the right conditions (right managers, right fees) active management can succeed
5. Low cost is a critical success factor over the long run
6. Long-term success depends on the disciplined executive of your investment strategy

We have targeted May 1, 2014 as the date transfer of all of our portfolio assets to VIAS management will be complete.

On another note, we have a “Save the Date!” Please reserve Wednesday, June 25 at 4:00 for the Community Foundation’s Annual Gathering. There is much to celebrate in community philanthropy and we hope you are able to be among us for that celebration!

Call to Order
*Meeting Called to order by President Marty Heiss about 7:00 p.m. at Swanson Pickle Company.
Roll Call
*Attending were trustees Marty Heiss, Mike Pierson, Ken Patterson Sr., Dee Swanson, Ken Punter, Laura Cameron and Jason Helsen; Absent were Karen Barker and Denny Emery.
Approval of the Agenda
*The amended agenda was approved unanimously on motion by Ken Patterson with support from Dee.
Approval of Minutes
*Minutes of the 5 December 2013 meeting were approved unanimously on motion by Dee with support from Ken Punter with one correction. The new donation category for $10,000 and above is sapphire not diamond.
Correspondence-
*Community Foundation of Muskegon reminded us that 2014 scholarship applications must be filed by Friday, May 9.
*The Jon Link $500 scholarship administered by Jack and June Link will again pass thru the foundation.
*United Way presented us with an anti-terrorism compliance form that Marty filled out and returned.

*Jason reported a current balance as of 4/14/14 of $121,447.18
*Checkbook balance is $5,350.48; less $495 in outstanding checks for a reconciled balance of $4,855.48. A $1,400 check is expected for credit card income from Taste of Ravenna.
*2013 Year-end balance was $122,202.18; we received $25,768 in donations and earned $11,309.06 from investments; paid $1,448.34 in investment and management fees and disbursed $5,039.88 in grants and scholarships.
Old Business
*Grants confirmed via e-mail include: $300 to Kelly Hecksel for March is Reading Month speaker; $300 to Amy Sitzer for Title I iPad headphones; $240 to Carrie Schoenborn for the Art department wall mural.
*Beechnau Elementary School received a $10,500 grant and was looking for additional help for playground equipment. We have heard nothing so Mike will contact Principal Jennifer Kleiner.
New Business
*Dee and Laura will team up with Barb Krepps to do the interviews of potential scholarship recipients.
*Ken Punter moved to award two $1,000 scholarships this year if suitable applicants are found; Ken Patterson supported and the motion passed unanimously.
*Ken Punter moved and Ken Patterson supported a motion to spend up to $200 for popsicles and ice to distribute at the annual Dog Daze event Friday July 18. Motion carried unanimously.
*Ken Punter, Denny, Dee and Laura will distribute popsicles during the Dog Daze celebration.
*Taste of Ravenna tentative date is the first Thursday of November (6). Ken Patterson will contact Shawn at Moss Ridge to reserve the date and to see about having micro breweries represented at this year’s event.
*Tickets will again be $25 or two for $45. Ken Patterson will procure the tickets.
*Mike moved and Laura seconded to designate levels of giving for Sapphire at $10,000 to $14,999; Emerald $15,000 to $19,999 and Diamond $20,000 and above. Motion carried unanimously.
Member Discussion
*The Distinguished Alumni award was discussed with agreement to accept nominations. The possibility of creating another category for deceased alumni to be honored was considered.

RCEF 2012 End of Year Financial Report

2013 Year-End Financial Report:
Our 2013 year-end fund balance was $123,202.18. We surpassed $100,000 in fund balance in 2013, a major milestone for our organization. Our 2013 beginning balance was $92,613.34. We received $25,768.00 in donations, experienced $11,309.06 in investment gains as the stock market had a great year, paid $1,448.34 in investment and management fees, and disbursed $5,039.88 in grants and scholarships.
At December 31, 2013, we had 151 donors on record, 98 of whom are at the Silver level or higher ($100+ in donations). We had our first Sapphire level donor, GripTrac Inc, reaching the $10,000+ level in donations.
Our 2013 year-end checking account balance was $5,350.48, less $20 in outstanding checks, for a reconciled balance of $5,330.48. This is after all Taste of Ravenna bills have been paid, but prior to receiving the credit card payments from Moss Ridge and making a deposit into our CFFMC fund, which will be processed in 2014.
Taste of Ravenna 2013 produced total revenue of over $7,700 and a net income of approximately $5,350. Approximately 160 tickets were sold to the event. This was our best event yet in terms of fundraising and attendance and will help us grow our fund balance and also provide us some opportunities for grants and scholarships in 2014 and beyond.
